How We Handle Food & Beverage Inventory

Every food and beverage SKU moves through four stages from inbound to outbound. Each stage is tracked in our WMS with timestamps, lot numbers, and temperature logs.

Receiving and FDA-Compliant Intake

When your shipment arrives, our receiving team logs every pallet against the purchase order and checks for visible damage, temperature deviation, and correct labeling. We record the manufacturing date, expiration date, lot number, and country of origin for each SKU at intake. For imported food products, we verify that FDA prior notice requirements have been met and that all labeling meets 21 CFR standards. Any product that arrives outside the acceptable temperature range of 60-80F is quarantined and flagged for your review before it enters sellable inventory. Average receiving turnaround for a standard food shipment is 24-48 hours.

Temperature-Controlled Storage and FEFO Rotation

All food and beverage inventory is stored in climate-controlled zones maintained between 60-80F with continuous monitoring. Our WMS enforces First Expired, First Out (FEFO) rotation automatically, so the units closest to expiration always ship first. This is different from standard FIFO and is critical for reducing spoilage and avoiding customer complaints about short-dated products. We track shelf life by lot and send automated alerts when any SKU approaches its expiration threshold — 90 days out by default, configurable per client. Lot-level tracking also means that if a supplier issues a recall, we can isolate the affected inventory within minutes and provide a full chain-of-custody report.

Channel-Specific Prep and Packaging

Different sales channels have different packaging requirements, and food products add another layer of complexity. For Amazon FBA, we apply FNSKU labels, poly bag or bubble wrap individual units, and pack to Amazon’s prep guidelines for grocery and gourmet categories. For Walmart and retail distribution, we build retail-ready cases with correct Ti-Hi configurations and apply GS1-128 shipping labels. TikTok Shop and Shopify D2C orders get branded packaging inserts, and we can include promotional materials or sampler packs. B2B wholesale shipments are palletized to the buyer’s routing guide specifications. Throughout all of this, we maintain lot traceability so you know exactly which lot numbers went to which customer.

Shipping with Documentation and Compliance Records

Every outbound shipment includes the required documentation for its destination. Amazon FBA shipments include appointment scheduling and carrier coordination. Retail shipments include ASN (Advance Ship Notice) transmission, packing lists with lot numbers, and any retailer-specific documentation. D2C orders ship same-day for orders received before our 2 PM local cutoff, with tracking pushed to your storefront automatically. We retain lot-level shipping records for a minimum of two years, which satisfies both FDA traceability requirements and most retailer audit standards. If a customer or retailer raises a concern about a specific unit, we can trace it back to the exact lot, receiving date, and storage conditions within our system.

FDA Facility Registration and cGMP Compliance

All four MeisterPrep warehouses hold current FDA facility registrations and follow cGMP protocols for food storage and distribution. This covers pest management programs, cleaning schedules, employee hygiene training, and allergen separation procedures. We undergo third-party audits annually and maintain documentation that satisfies both FDA inspectors and retail buyer compliance teams. For brands selling through Walmart, CVS, or Walgreens, our compliance records are audit-ready -- no scrambling to gather paperwork when a buyer asks for proof of food safety practices.

Expiration Management That Protects Your Margins

Short-dated inventory is one of the biggest margin killers in food and beverage. Our system flags products at configurable thresholds before expiration, giving you time to run promotions, redirect inventory to a different channel, or arrange donation before units become unsellable. We track average days-to-expiration by SKU in your monthly reports, so you can identify which products need faster velocity and adjust purchasing accordingly. Clients who switch to our FEFO-managed system see a 30-40% reduction in expiration-related write-offs within six months on average.

Multi-Channel Fulfillment from a Single Inventory Pool

Instead of splitting your food and beverage inventory across separate Amazon, retail, and D2C stockpiles, we fulfill all channels from one inventory pool per warehouse. Our WMS allocates stock in real time, so an order from your Shopify store and a PO from Walmart both pull from the same available inventory. Product recalls in food and beverage move fast, and the ability to identify affected inventory quickly is not optional. Our lot tracking system records which lots are stored at which locations, which lots shipped to which customers, and which lots remain in inventory at any given moment. In a recall scenario, we can generate a full affected-inventory report within one hour, pull impacted units from active pick locations, and quarantine them pending your instructions. This traceability also supports compliance with the FDA Food Safety Modernization Act (FSMA), which requires detailed recordkeeping for food products moving through the supply chain.
